Find statement income that isn't reaching your works

Money on a society statement can fail to reach a song in your catalogue for two reasons:

  1. The society paid on a work number you don't carry. BMI printed a work number on the line, but no work in your Royalti catalogue has that number. The money can't be split or reported against a work.
  2. The society paid against no work. The line has a title and an amount, but no work number.

This guide shows how to find both, and what you can do about each. The examples use BMI. The same checks read ASCAP and SOCAN statements that you load through Add files. MLC statements aren't included yet.

You need to be a workspace admin, and the workspace needs Publishing turned on.

Before you start: the statement health check

After a society statement is processed, Royalti runs a statement health check. It lists anything on that statement that needs a decision.

To open it:

  1. Go to Analytics, then Overview, then the Publishing tab.
  2. Click the card Statement health check · NN% matched.

The check page has four tabs: Open, With Royalti, Done and Dismissed.

If you don't see the card, either no statement has been processed since the check was turned on, or the check isn't on for your workspace yet. We're turning it on workspace by workspace. Contact us if you'd like it for yours.

1. Lines paid on a work number you don't carry

On the Open tab, these findings look like this:

$137.29 for “SUNRISE” (#884120331) isn’t in your catalogue

You get one finding per society work number, with every line paid on that number grouped under it. The table shows the Work, the Work number, the number of Lines and the Amount.

Decide whether the work is yours

  • If it's yours, put the number on the right work so the money lands on it:
    • If the work isn't in your catalogue, go to Works, click Add Work and enter the society number in Submitter Work #.
    • If the work is in your catalogue under a different number, open it, go to the Metadata tab and edit Submitter Work #. This replaces the number the work had. That number is also the ID Royalti uses for the work in CWR files and society acknowledgements. If you've already registered the work, contact us before you change it.
  • If it isn't yours, click Dismiss…. The finding is marked as not a problem. You can click Undo if you change your mind. The finding opens again if the amount paid on that number grows by more than half.

Then go back to the finding:

  • Do it myself marks the finding as done. It doesn't change your catalogue.
  • We'll handle it asks the Royalti team for a quote to fix it for you. Nothing is charged until you approve the quote.

The finding clears after your next statement is processed and the check runs again. You can't start a check yourself.

You can't fix these lines in Attribution review. It only matches lines that have no work number.

2. Lines paid against no work

The health check groups these into one finding, for example $152.65 isn’t tied to any song yet. This isn't lost money. It's money that hasn't been matched to a work yet.

Some of it isn't paid for a song at all. Lines titled Additional Revenue or NCTA are paid against a licence, not a work. Attribution review lists them, but there's nothing to approve. Cue and performance-pool lines that have a title can be matched.

You match the rest in Attribution review. In the sidebar, open More publishing tools, then Attribution. The queue on the left is sorted by money at stake.

For each title:

  1. Read the evidence in the middle column: the amount, the number of statement rows, and the placement and cue type where BMI gives them.
  2. Pick the work the money belongs to from the cards in the middle column. If no work fits, skip to step 5.
  3. Choose how far the match reaches:
    • Context applies it only to lines with this placement.
    • Title — everywhere applies it to every line with this title.
  4. Click Approve — context tier or Approve — title tier.
  5. If none of the works is right, click Reject (shown as Reject all candidates while nothing is selected). If you're waiting for a cue sheet, click Skip.

Approving applies a reversible overlay. The BMI statement itself is never changed. The right column shows the line As reported by BMI, and how it reads with the overlay applied.

To undo a match, find it in the Overlay journal in the right column and click Reverse. The title goes back into the queue. To reverse several matches at once, click Select in the journal, tick them and click Reverse selected.

You can't undo Reject or Skip in the app, so use them once you're sure.

The same items also appear in Review, under Statement matching.

See the statement lines themselves

To look at the lines BMI paid:

  1. Open Statements in the sidebar. If you don't see it, go to Settings, then Modules, and set Publishing statements to Always show.
  2. Open a row marked From PRO. Each one covers one society statement period.
  3. Open the Line items tab.

Each line shows the title, territory, right type and amount. These statements are read straight from your society files, so there's nothing to approve or adjust on this page.

Two things to know on this page:

  • The matched and unmatched badges only say whether BMI printed a work number on the line. They don't say whether the work is in your catalogue.
  • The work number isn't shown. Use the health check finding to see which number a payment was made on.

What Roy may do when a check runs

Roy is the Royalti assistant. When a health check runs, Roy may do some of this work for you, depending on your workspace's settings:

  • create a work for a society number whose title isn't in your catalogue yet
  • record the society number on a work when exactly one work has that title
  • apply matches it's sure of

The check shows a What Roy did card with the number of works created and lines matched. Undo everything from this run reverses the matches Roy applied. It doesn't remove works Roy created or numbers it recorded, and the card doesn't list those numbers. You can review and edit those works in Works.

What this doesn't do

  • Royalti doesn't change your registrations with BMI or any other society. Fixing a work number in Royalti makes the money land on the right work here. To stop the society paying on the wrong number again, check the registration with the society yourself.
  • No button on the finding links or adds the work for you. You make the change in Works.
